BOX - Perpetual Access
Work-related BOX folders should be OWNED by a Department Account
When an employee leaves Baylor, the BOX folders they own go away.
All Collaborators will lose access - including Co-Owners.
- If you've lost access to a work folder, email the Helpdesk with the owner's name, folder title, and key file names
- If you work in a folder owned by an individual, ask them to transfer ownership to a department account
How to make a "Department" account the Owner of a BOX folder:
- The current Owner opens the BOX folder
- If a Co-Owner does not exist, elevate an existing Collaborator to Co-owner (so they may elevate others to co-owner)
- Add a new collaborator (Editor) using your “department resource account” (If your department does not have a Box Account, request one by going to helpdesk.baylor.edu → Click the blue Service Catalog button → Click the "Box Shared Folder" tile → Submit a "department box" name (like Chemisrty_Box; Statistics_Box; Political_Science_Box)
- Transfer ownership to the department account
- Existing Owner opens Collaborators → clicks the 3-dot ellipsis next to the department account → Assigns the department account as "Owner" (you will be made an Editor) → ask another Co-Owner to make you to Co-Owner
